Erebuni Medical Academy Foundation (“EMAF”, “we”, “our”, “us”) is committed to protecting the privacy and security of the personal data of its students, applicants, website visitors, and other stakeholders. This Policy applies to all EMAF services, including emaf.am, the student portal, and all educational programs.

1.1 Data You Provide Directly
– Identity data: Full name, date of birth, nationality, gender, passport/ID number.
– Contact data: Email address, phone number (including WhatsApp), mailing address.
– Educational background: Prior qualifications, diplomas, transcripts, CV/resume.
– Application materials: Motivation letters, uploaded documents.
– Emergency contact details: Emergency contact details: Name, contact method, and phone number of a nominated contact person.
– Payment information: Billing address and payment transaction references (full bank card details are not stored directly).
1.2 Data Generated Automatically
– Usage data: Pages visited, time spent, login dates and timestamps..
– Device & technical data: IP address, browser type, operating system.
– Cookies: Session and preference cookies (see Section 7).
1.3 Data from Third Parties
We may receive data from from partner institutions (for student practical training), payment processors, and government authorities where required by law.

3. Sharing and Disclosure of Personal Data
We do not sell your personal data. We may share it with:
– Clinical and academic partners — for coordination of practical placements.
– Payment processors — solely for transaction processing.
– IT and platform service providers — operating our systems under strict data-processing agreements.
– Government and regulatory authorities — when required by Armenian law or court order.
– Accreditation bodies — to verify academic credentials and programme compliance.
All third-party recipients are required to handle your data securely and only for the specified purpose.
4. Data Retention
We retain personal data for as long as necessary to fulfil the purposes outlined in this Policy. Indicative retention periods:
– Academic records (diplomas, transcripts): Permanently, as required by Armenian educational law.
– Financial records: 7 years from the end of the relevant financial year.
– Application data (unsuccessful applicants): 12 months after application submission
– Platform and usage logs: Up to 12 months.
– Marketing consent records: Until consent is withdrawn, plus 3 years.
5. Protection of Minor Students
We recognise our heightened duty of care towards students under the age of 18:
– Enrolment requires verifiable parental or guardian consent.
– The parent/guardian is the primary data contact for communications regarding the minor.
– We do not use minor students' data for marketing purposes.
– Access to minors' data within EMAF is strictly limited to staff with a legitimate educational need.
– We implement additional technical safeguards on minors' accounts.
6. Data Security
We implement appropriate technical and organisational measures to protect personal data. These include:
– Encrypted data transmission (HTTPS/TLS) across all EMAF web services.
– Access controls limiting data access to authorised personnel only.
– Regular security assessments of our IT infrastructure.
– Staff training on data protection obligations.
In the event of a data breach posing a risk to your rights, we will notify relevant authorities and affected individuals in accordance with applicable law.
